Issuing a Gift Certificate in Place of a Refund [Mini Video]

Hi everybody. My name is Sharon, if we haven't met yet. I am part of the sales team here at ThinkReservations and I also own and operate my property in Virginia and I have been doing so for about 14 years.

During this current economic situation, what we've been doing is, if at all possible, issuing what we call cancellation coupons, which is really a gift certificate towards a future stay with some restrictions.

It's really easy to set this up and ThinkReservations and I wanted to take a moment and show you how. So I'm going to go ahead and share my screen and I'm going to show you how to do this on the old Reservation Bill page as well as the new one.

So you can see here that, let's take Allison Green, for example. We're going to go ahead and click on Allison Green’s reservation and she wants a gift certificate for a future stay.

So what I'll do is I'll go up to this gear icon and cancel the bill. And then I'm going to add an item. I'm going to add on a gift certificate for the balance here. All right, so that's going to zero out the balance, and then you'll see this gift certificate comes up with a link. So I'm going to actually right-click it. I use a PC. I'm going to right-click it and open this up into a new tab here. And then I'm going to edit the information within it. So I'm going to make sure that the information is correct. This will expire at the end of this year. This is what we told her, so she can use it up until the end of the year. I'm going to just go back and forth and do a little copy and pasting for COVID-19. All right, so make sure all that information is filled out and click Save.

Then I'm going to email her from this page. So I'm going to go back to the other tab, copy and paste her email address into that field and click Send and she'll get that. So that's all taken care of in the old Reservation Bill.

Let's go ahead and switch over to the new Reservation Bill. And we'll show you how to do that for a new Reservation Bill if you're already switched over.

So let's go ahead and pick Tom. And it'll be very similar, where we're going to need to cancel the reservation first. So we'll go up to the gear icon that's located here in and I'll cancel the bill. And then we're going to add the item which is here now. Pick gift certificate and then we're going to put the price in you can see here, for the full amount. Click Add and that's going to zero out the balance. You're going to have that link, and we're going to right-click and open it in a new tab. And we're going to shift over to edit the information just like we did beforehand, set whatever date we want for this expiration. And then we're going to copy and paste. Let's copy and paste Tom's information. And then we're going to go ahead and save that information and we do need to email him a certificate so, let's go ahead and copy his email address just like we did in the previous one and click Send. That's it.
